What should a hotel RFP include?
A complete hotel RFP should include: event dates and any flexibility window, total expected attendees, room block requirements (broken down by room type), meeting space specifications (capacity, setup style, AV needs), food and beverage requirements for each meal occasion, budget parameters, your decision timeline, and the criteria you will use to evaluate proposals. The more specific the brief, the higher the quality of proposals you receive and the fewer clarification rounds you need.
How many hotels should I send my RFP to?
For most events, 6 to 10 hotels is the optimal number. Fewer than 5 limits competition and pricing pressure. More than 15 creates an unmanageable volume of proposals and signals to hotels that they are unlikely to win, which reduces the effort they put into their response. Short-list to 3 to 4 finalists for a second round, and consider a BAFO (Best And Final Offer) round to extract the final competitive pricing.
How long should I give hotels to respond?
Five to seven business days is the standard deadline for a complete proposal. For complex events or short lead times, communicate urgency clearly: hotels prioritise RFPs where they sense genuine opportunity and a motivated buyer. Always set a firm deadline rather than leaving it open-ended, as open deadlines produce much slower response rates.
Should I include my budget in the RFP?
Yes. Sharing your budget (or a realistic range) produces better proposals. A hotel that knows your budget will optimise their offer to fit it rather than sending a generic menu of options. Withholding budget information adds negotiation rounds and delays. Hotels will anchor to their standard rates if they have no reference point. The exception is large events where your budget signals significant buying power and you prefer to let competition drive pricing down first.
What is attrition and how do I negotiate it?
Attrition is the percentage of unused rooms in your group block that you are not charged for. If you book 100 rooms and only 80 are used, a 20% attrition clause means you pay only for the 80 rooms used. Standard hotel contracts offer 10 to 15% attrition. Always ask for 20% in your RFP and expect to negotiate to 15%. Also request a resell clause: if the hotel can sell unused rooms at market rate, the attrition charge is waived or reduced, giving you downside protection at no cost to the hotel.
